A Complete Enterprise Wide
The document management industry is in the midst of a fundamental transformation. Driven by the Internet, low cost of ownership and regulatory compliance, Gdox is at the forefront of this accelerating eDocument Revolution.


Workstations:

Any computer connected to the corporate network can transfer digital files to the Input Folder. Authorized remote users can also transfer digital files to the Input Folder via the internet. The Gdox web-based interface also means that the user can connect using any internet-capable computer without having to install any additional software.
 

Scan Station:
Gdox enables users to individually or batch-scan paper documents from any scanner or multifunction printer connected to the network ¿generating and transferring digital image files (TIFFs) to the Input Folder to be further optimized and then securely stored in a central repository.

Input Folder:
Authorized users access the digital files imported into the Gdox Input Folder and manually add metadata (indexing) to the files for efficient file retrieval in the future.

Similar documents (invoices, contracts, statements) can be batched through the scanner and indexed via a pre-formatted template designed to automatically extract important index data (date, client name, account number, etc.), eliminating the time consuming process of data input.

DPI (Descriptive Process Instructions) can be applied to add a rules-based workflow process to each file format, scanned or imported into the Input Folder. i.e. all .tif files might be pre-configured to be converted to PDF and OCR'd for future full-text search-ability. Or, an invoice template might be called upon for batch scanning with automatic zonal OCR indexing. DPI increases productivity while ensuring enterprise wide consistency and compatibility.

Workgroups:
Gdox members are enabled to securely store, manage and share files with other members defined in their Gdox workspace via the Internet in a way that is both intuitive and powerful. Gdox automatically converts a copy of the document to PDF for universal viewing and printing. 

PDF/TIFF Conversion:
Gdox can convert and generate virtually any document under WINDOWS to PDF, TIFF, TEXT and XML. Once the file is converted into the desired formats, Gdox stores a copy of each in the central repository for future access.

OCR:
The Gdox OCR module delivers optical character recognition (OCR), which is provides true document recognition. This module is essential if you wish to perform an accurate full-text database search on every document in the central repository; or export the text from a scanned document into a preferred application (i.e. WORD) with unsurpassed recognition accuracy.

Collaboration:
Gdox provides web-enabled collaborative workspaces for the project manager. Within these workspaces, the corporate team members work together more efficiently by leveraging gdox technologies with their collective knowledge base. In addition, workspace members can add comments to existing documents, download a copy of the original file or PDF and upload new documents with permission rights.

Remote Collaboration:
Gdox can be accessed remotely through a web browser. Corporate team members are empowered with the flexibility of viewing and sharing any document, anywhere, anytime.

Search:
The Gdox Central Repository (database) stores millions of documents in one location that can be retrieved through advanced search techniques including full-text, indexing and embedded metadata schemas.

Database (Central Repository):
Gdox is a state-of-the-art solution designed in a robust enterprise client/server environment (SQL SERVER), combining the advantages of a relational database system with all the features that users expect from a production system designed to handle heavy workloads. It is the perfect choice for an industrial-strength, high-performance database system for business-critical processing solutions scalable to archive millions of documents.

Remote Database (Web Server):
Gdox runs on a local network server (intranet) as well as on a separate web-server (extranet) - providing a truly end-to-end eDocument Management Solution.

All corporate content is stored on the intranet behind the firewall (central repository) and any selected content can be copied to the extranet (web-server). Authorized remote Gdox workspace members can view documents in an organized, convenient and universally accessible (PDF) format.
